Piazza Produce offers a wide array of produce, locally sourced goods, specialty items, and more. Piazza Produce delivers to over 150 surrounding cities including Indiana, Ohio, Kentucky, Illinois, Tennessee, and Michigan. This allows us a large distribution network in which we are able to back haul and deliver products from producers who need help distributing their products.  

Essential Functions:  

1. Vehicle Titling & Registration Coordinate and process titling and registration of new and used vehicles across multiple jurisdictions 

  • Ensure all vehicle documentation is accurate and compliant with state and federal regulations  
  • Maintain centralized records of vehicle titles, registrations, renewals, and ownership transfers  
  • Serve as liaison with DMVs, third-party processors, and legal teams during authority consolidation  

2. Mileage Tracking & Reporting  

  • Support and manage systems for tracking intrastate and interstate jurisdiction mileage using Samsara and/or other FreshEdge telematics systems  
  • Aid applicable OpCo’s in validating quarterly jurisdiction mileages for IFTA reporting  

3. IFTA Tax Filings & Compliance  

  • Coordinate, prepare and submit quarterly IFTA filings, ensuring accuracy and timeliness  
  • Track fuel purchases & mileages by jurisdiction to support tax reporting  
  • Maintain documentation and coordinate responses to audits or inquiries from regulatory agencies  
  • Assist in aligning IFTA processes across consolidated entities  

4. Fleet Compliance & Consolidation Support  

  • Maintain fleet master database that encompasses all vehicle specifications and details, motor carrier authorities, and compliance statuses  
  • Support DOT compliance program, insurance documentation updates, vehicle inspections  
  • Assist in harmonizing fleet policies and procedures across FreshEdge 
  • Identify and coordinate resolving compliance gaps that arise during the consolidation process  

5. Fleet Operations Management  

  • Ensure all trucks are prepared for routes this includes maintaining a list of fleet, locations, OOS’s, daily lot checks, coordinating swaps  
  • Update team on issues via email  
  • Update information in Produce Pro  
  • Communicate with the scheduling manager daily regarding fleet availability  

6. Vehicle Maintenance and Accidents  

  • Report on all accidents  
  • Report on all breakdowns  
  • Review and approve maintenance invoices  
  • Maintain a master lists of all accidents for the transportation team and DOT compliance  
  • Follow-up on current truck issues  
  • Communicate with the proper contractors  

7. Vendor Management  

  • Serve as the primary point of contact for all fleet washing vendors   
  • Coordinate washing schedules to ensure vehicles meet cleanliness and brand standards  
  • Conduct audits to monitor service quality and address performance concerns as needed  
  • Create accounts for new locations  
  • Review and reconcile vendor invoices for accuracy and cost control  

Other Functions:  

  • Occasionally cover routes as needed  
  • Maintain regular and satisfactory full-time attendance  
  • Perform work outside of normal business hours as needed and required 
  • Perform special projects as assigned by the Director of Transportation – P&P Transportation   

Competencies, Education, and Experience 

  • Excellent verbal and written communication skills  
  • Organized and attention-to-detail approach   
  • Results-driven with a strong focus on achieving organizational goals  
  • Associate or bachelor's degree preferred  
  • 2+ years of experience in fleet administration, vehicle registration, or transportation compliance  
  • Proficient PC skills in CRM and Enterprise Resource Planning (ERP) systems- Produce Pro, Microsoft Office (particularly Excel), and common E-Mail systems  
  • Hold a For-Hire Endorsement driver’s license  
  • Maintain insurability on company’s commercial auto insurance program  

Schedule: 

  • Monday – Saturday (off on Sundays) 
  • 8:00am – until finished (usually 4:00pm) 
  • Must be available to work on weekends as needed 

Compensation: 

  • $18-$22/hr.  

Physical Demands: 

  • Stand or sit for long periods of time  
  • Travel as needed and required  
  • Occasionally lift up to 50lbs  
  • Work in cold or wet environments
